Receiving a parcel from China: inspection and damage records
Prepare tracking references, check the packaging and retain a clear record if an item arrives damaged or something is missing.

Before collection
Match the international and local tracking numbers, package count and contents of each box. If purchases were consolidated, one tracking number may cover several orders. Keep the invoice, SKU list and pre-dispatch photographs so you can explain what should have arrived.
Inspection at a Ukrainian branch
Nova Poshta’s collection page describes checking contents with an operator present. [1] Its inspection terms describe documenting damage or shortages through an acceptance report and claim. [2] Confirm the available inspection process for your particular shipment; do not assume the same procedure applies to a parcel locker or another carrier.
What to record
Our editorial checklist is below. Describe observable facts instead of assuming who caused the problem. Keep the packaging until the procedure is clarified. Photos and video support your report but do not replace carrier paperwork.
- Photograph the whole box and its tracking label.
- Record the damaged area, internal protection and the item’s condition.
- For shortages, record expected and received quantities by SKU.
If you receive in Moldova
Contact the operator named on the local waybill and ask how to record a discrepancy for your delivery method. Confirm the reporting deadline, channel and whether the sender or recipient must submit the claim. The Ukrainian inspection terms cited here are not rules for Moldova.
Separate product and transport issues
An incorrect colour or model and a crushed shipping box may need different enquiries. Give the purchasing team your order reference and the seller the product discrepancy; give the carrier the waybill number and facts about the shipment’s condition. Do not return the item until the address, return method and costs are agreed.
Prepare one clear enquiry
Include the collection date and location, order reference, related tracking numbers, a short description and your requested resolution. Attach the invoice, photographs, warehouse report and any acceptance-report or case reference already issued. Retain the response and next action deadline. Evidence does not guarantee compensation: the outcome depends on the circumstances and applicable terms.
